Your data, handled the way we'd want ours handled.

This page explains what NeoPolaris AI collects when you visit this site or get in touch, what we do with it, and how to tell us to stop. No filler, no fifteen pages of boilerplate.

The short version

For people who'd rather not read a legal document to find out if we're selling their email address. We're not. Here's the gist:

  • We only collect what you give us through our contact form, or what you share with us directly during a client engagement.
  • We use it to respond to your enquiry, scope your project, and deliver the work you've hired us for. That's it.
  • We don't sell or rent your data, run ad trackers, or send marketing newsletters. We told you that on the contact page, and we mean it here too.
  • Two outside services touch your data on our behalf: Formspree (handles form submissions) and GitHub Pages (hosts this site). Both are named below.
  • You can ask to see, correct, or delete what we hold on you at any time. Email is the fastest way: info@neopolaris.ai.

What we collect

We keep this deliberately narrow. The site itself has no analytics, no ad pixels, and no cookies that track you across sessions. What we do collect:

VIA THE CONTACT FORM Full name, company name, job title, email address, the service you're enquiring about, and your message.
VIA WHATSAPP / PHONE Your number and whatever you choose to share, if you reach out to +254 746 392 370 directly.
DURING AN ENGAGEMENT Business information you share under a signed agreement, scoped strictly to the work at hand.
AUTOMATICALLY, VIA HOSTING Standard server logs (IP address, browser, pages requested) collected by GitHub Pages, not by us directly.

We don't ask for, and don't want, more than this. If a form ever asks you for something that feels out of scope for "let's talk about your business," tell us — that's a bug, not a feature.

How we use it

  • To reply to your enquiry, typically within one business day.
  • To assess whether and how we can help, and to put together a proposal or scope.
  • To deliver, manage, and support the work once you're a client.
  • To keep the business records Kenyan law requires of us — contracts, invoices, correspondence tied to active engagements.

We do not use your contact details for marketing emails, and we do not build profiles of site visitors for advertising. There's no newsletter to opt out of, because there isn't one.

Who we share it with

Two processors handle data on our behalf so this site and its contact form can function:

Beyond that: specialists we occasionally bring onto a specific engagement are bound by confidentiality terms and only see what's relevant to that work. We disclose data to Kenyan authorities only when legally compelled to — a court order, not a casual request. We do not sell or rent personal data. There's no exception clause hiding that sentence.

Cross-border transfers

Because Formspree and GitHub operate outside Kenya, your data may be processed on servers in the United States. Under section 48 of the Data Protection Act, 2019, we rely on the contractual and security safeguards those providers publish — you can review them directly: Formspree's privacy policy and GitHub's privacy statement.

Storage & retention

Enquiries that don't turn into a project are kept only as long as needed to respond, and we clear out anything inactive after 24 months. For active clients, records are retained for the life of the engagement plus whatever statutory period Kenyan business and tax law requires afterward. When a retention period lapses, we delete — we don't quietly keep "just in case."

Your rights

As a data subject under Kenya's Data Protection Act, 2019, you can ask us to:

Email info@neopolaris.ai and we'll act on it within a reasonable time, in line with the Act. If you feel we've mishandled your data and we haven't resolved it to your satisfaction, you can lodge a complaint with Kenya's Office of the Data Protection Commissioner (ODPC), Britam Towers, Hospital Road, Upperhill, Nairobi.

Security

This site is a static, self-contained build with no database to breach — by design, there's less surface area to attack. Form submissions and client communications are handled through providers that maintain their own security and encryption standards. No method of transmission or storage is ever 100% secure, and we won't pretend otherwise, but we keep what we hold to a minimum on purpose, precisely because the smallest dataset is the safest one.

Children

NeoPolaris AI is a business-to-business consultancy. This site isn't directed at, and we don't knowingly collect data from, anyone under 18. If we discover we've inadvertently collected a minor's data, we'll delete it.

Changes to this policy

If this policy changes in a way that matters, we'll update the date at the top of this page and, for active clients, flag it directly rather than burying it in a footnote. Checking back occasionally is on you; telling you clearly when it counts is on us.
